One system, from the customer file to the paid invoice.
Instalvo is the software for heating, plumbing and cooling installers. Maintenance contracts, planning, work orders on the technician's phone, compliance certificates and invoicing — all in one place, built around Belgian rules.
Every step already knows the one before it.
Today most of this lives in six different places: a spreadsheet, a paper agenda, a phone call, a scanned form, an accounting package. In Instalvo it is one chain, and nothing is typed twice.
-
STEP 1Customer
Sites, installations, serial numbers and the full history of every device.
-
STEP 2Contract
Frequency, price, notice period and indexation on a live maintenance contract.
-
STEP 3Planning
Drag the visit onto a technician. The customer gets a confirmation and a reminder.
-
STEP 4Work order
Checklist, readings, materials, hours, photos and the customer's signature.
-
STEP 5Certificate
Pre-filled from the readings, signed with the technician's licence number.
-
STEP 6Invoice
One click from the work order, or generated automatically from the contract.
The visits you are owed, found for you.
Every maintenance contract knows which installations it covers and when each one is due. Instalvo keeps that calendar so nobody has to remember it, and so a contract never quietly expires while the customer keeps paying.
- Contracts as real objects: frequency, price, duration, notice period, indexation
- An expiry calendar that turns due dates into work to be planned
- Status per invitation: sent, answered, scheduled, done
The whole job, on the phone already in their pocket.
The technician opens a link and sees today's route. Checklists per intervention type, readings that flow straight into the certificate, materials and hours, photos, and a signature on the screen. The form keeps saving itself, so a dead spot in a cellar costs nothing.
- Address with a navigation link, access notes and the installation's full history
- En route, in progress, finished — the office sees it as it happens
- The work order leaves as a PDF to the customer before the van does
Paperwork that finishes itself.
The readings taken during the visit fill the maintenance and combustion certificates. The technician signs with their licence number, the customer gets it by email, and a copy stays in the customer's file. From the same work order, the invoice is one action away.
- 21%, 6% renovation and reverse charge, with the correct legal wording
- Structured payment reference, sequential numbering, credit notes
- Peppol out and in, plus a CSV and UBL export your accountant can just open

Enough to cancel the old package.

We are opening a small number of pilot accounts. Leave your email and you will hear from us when it is your turn — and if you tell us what your current software gets wrong, that shapes what gets built next.
