Software for heat pump installers

A heat pump has no burner, so it falls outside the logic of the combustion certificate. But it does have a commissioning record, a manufacturer's warranty that depends on an annual service, and a customer who rings you the moment their electricity bill surprises them.

What makes a heat pump different to follow

Companies moving from gas to heat pumps find that the after-sales work cannot be run the way it was. The fleet is young, warranties are running, and the documents that matter are different ones.

  • The commissioning record, with its settings, flow rates and flow temperatures, stays in a binder, when that is exactly what has to be read again a year later.
  • The manufacturer's warranty assumes an annual service, and it is on you to prove it happened.
  • The customer rings because their consumption surprises them, and nobody can find the parameters set at installation.
  • Grant paperwork and end-of-job documents are asked for weeks later, when everyone has moved on.
  • The obligations around refrigerant assume a per-installation record, kept over time.

What Instalvo does

What Instalvo changes for a heat pump installer

The product starts from the installation, not from the job. A heat pump lives in it as a durable object, with its record, its visits and its documents attached, including ones produced by somebody else.

  • A quote for a new heat pump becomes the installation job and then the invoice, with nothing typed twice.
  • The annual service the warranty depends on becomes a contract, with a due date of its own.
  • Photos of the outdoor unit, the indoor unit and the rating plate stay attached to the installation, not to the technician's phone.
  • The documents you have to give the customer or a third party are filed under the installation as soon as they exist.
  • A hybrid system is followed as two linked installations, without forcing one type onto both.

The installations you look after

These are not cosmetic variants: the service interval, the check points and the documents differ from one type to the next.

  • Air-to-water heat pumps, alongside a boiler or as a full replacement
  • Air-to-air heat pumps and multi-splits
  • Ground source, with boreholes or horizontal collectors
  • Heat pump water heaters
  • Hybrid systems, boiler and heat pump side by side
  • Buffer tanks, controls and low-temperature circuits

Common questions

Does Instalvo handle the refrigerant obligations?

The first release keeps the installation record, its visits and its documents, which is the basis of any register. A dedicated module for the fluorinated greenhouse gas obligations, with their own thresholds and intervals, is not in the first release and we will not pretend otherwise. Tell us if that is a blocker for you: that is the kind of feedback that decides what comes next.

Can I look after an installation somebody else fitted?

Yes. An installation can be created without your having fitted it, with its existing documents imported alongside. Plenty of maintenance contracts cover equipment put in by somebody else, and the product has to cope with that.

Are grants and subsidy paperwork handled?

Not as a dedicated feature: grant schemes change often and differ by region. What Instalvo does is keep the end-of-job documents in the right place so you can produce them when they are asked for, weeks later.
