Installation documents: finding one from 2024 should not take twenty minutes.
An installation company produces documents constantly: certificates, signed work orders, invoices, photos of meters and rating plates. The problem is almost never producing them. It is finding them again.
A shared folder, a mailbox, and two phones.
- The documents live in a shared folder whose structure was decided six years ago.
- The site photos stay on the technician's phone until he changes phone.
- The only copy of last year's certificate is in a mailbox, somewhere in a thread.
- When a customer disputes something, nobody can quickly show what was done and when.
- A technician who leaves takes, without meaning to, half the history of an installed base with them.
Filing is not a task, it is a consequence.
Everything Instalvo produces is put away at the moment it is produced, under the customer, the site and the installation it belongs to. Nothing to name, nothing to move. The documents you already have can be imported into the same place, so the history does not start on the day the software was installed.
- Everything the product generates lands under the right customer, site and installation
- Photos taken during the job leave with the job, not into the phone's gallery
- Import of what you already have, so you are not starting from a blank page
- Search by document type and by date, without knowing the folder structure
- An installation's full history readable on one screen
What exists, and when
Instalvo is in development. The first release is targeted for early 2027, and pilot companies get access before that. Here is what is planned for it, and what comes after.
- Automatic filing of everything the product generates
- Import of existing documents under a customer or an installation
- Search by type and by date
- Full history per installation, in order
- Access by role: a technician does not see the office's documents
- Sharing an installation file with the customer, by link
- Text recognition on photos of rating plates
- Retention rules and scheduled deletion per document type
Common questions
Can I bring across the documents I already have?
Yes: a document can be imported and attached to a customer, a site or an installation. Taking over a whole shared folder is work we want to do with the first pilot companies, because the starting structure is never the same twice.
Where are the documents stored?
With a hosting provider located in the European Union. The privacy page says precisely where, and that point will be settled and documented before the pilot programme opens.
Does a technician see everything?
No. The roles (owner, office, technician, accountant) decide what each person sees. A technician sees what they need for the day's job, not the commercial documents.
What happens if we stop using Instalvo?
You leave with your data. The export is there from the first release, and it is not negotiable: software that holds your documents hostage is not software we want to sell.
