Privacy policy

This page describes what this website collects and what happens to it. It covers the site instalvo.be, not the Instalvo product: that is not available yet and will have its own, fuller policy before pilot accounts open.

Updated 14 October 2026

Who is responsible

The controller is Marmotec BV, trading as Instalvo, with enterprise number 1041.399.918 and its registered office at Velpestraat 21, 3360 Opvelp, Belgium. You can reach us at info@instalvo.be for any question about this page or about your data.

What this site collects

The site is static: there is no account, no basket, no profile. Only four things produce data at all.

The two forms. Both are sent to a Google Apps Script, which adds them to a Google Sheets spreadsheet. The "keep me posted" form records the email address you typed, which form it came from, the site language at the moment of sending, and the date and time. The pilot programme application also records the company name, your name, your phone number if you give it, your region, the number of technicians, your current software and whatever you write in the free text field. Because the forms are processed by Google, Google also receives your IP address when you submit one, whatever your cookie choice. Filling in either form is entirely optional.

The Google Analytics cookies. If, and only if, you have accepted the banner, Google Analytics is loaded. It records the pages you view, the site you came from, your device and browser type and your approximate location (country and city). Until you accept, Google Analytics is not loaded and sets no cookie. The cookie page lists which cookies are used.

The emails you send us. They are read and kept for as long as it takes to answer and to follow the conversation.

The host's logs. Vercel, which hosts the site, technically records the requests it receives, including your IP address. That processing is necessary to deliver and secure the site; we do not use it for audience analysis.

We make no automated decisions about you and do no profiling.

On what basis

The forms: your consent, given by submitting them.

The Google Analytics cookies: your consent. You can withdraw it at any moment from the “Manage cookies” link at the bottom of every page.

Emails and hosting logs: our legitimate interest in answering you and in running and protecting the site.

Who receives this data

We sell no data and pass none to data brokers, ad networks or commercial partners. Two technical providers are involved, each for a specific reason.

Google Ireland Limited and Google LLC, for Google Sheets and Google Apps Script (the forms), for Google Analytics if you have accepted it, and for Google Workspace, which handles our email.

Vercel Inc., which hosts the site and serves its pages.

Transfers outside the European Union

Google LLC and Vercel Inc. are established in the United States, so your data may be transferred there. Both companies are certified under the EU-US Data Privacy Framework, which the European Commission recognises as providing an adequate level of protection.

For how long

What the forms collect is kept until the pilot programme opens. If you then become a customer, it is kept for as long as the relationship lasts; if not, it is deleted 12 months after the pilot opens. You can ask for deletion at any time, without giving a reason.

Emails are kept for as long as it takes to follow the conversation.

Google Analytics data is kept for 2 months. The matching cookies last for the durations given on the cookie page.

Vercel's logs are kept for at most 1 day.

Your rights

You can ask for access to your data, for it to be corrected, deleted, restricted or ported, and you can object to processing based on legitimate interest. Where processing rests on your consent you can withdraw it at any moment, without that calling into question what was done before.

One address for all of it: info@instalvo.be. We do not ask for identity documents for a deletion request about an email address, since the request comes from the address concerned.

We answer every request without undue delay, and within one month at the latest.

If our answer does not satisfy you, you can lodge a complaint with the Belgian Data Protection Authority, rue de la Presse 35, 1000 Brussels, www.dataprotectionauthority.be (opens in a new tab).

Cookies

The full list of cookies, with who sets them, what they are for and how long they last, is on the cookie page. Your choice can be changed there at any moment.

Changes

We will update this page when the site changes, and before the Instalvo product opens to pilot accounts, which will have its own policy. The date of the last update is shown at the top of the page.
