Maintenance certificates, filled from readings already taken.
A certificate repeats information that already exists: the installation, the date, the technician, the readings. Re-entering them that evening onto a paper form is double work, and that is exactly where the errors get in.
Filled in that evening, from notes taken six hours earlier.
- The certificate is filled in by hand, after the day, from notes scribbled on site.
- The technician's approval number is copied out from memory, one digit at a time.
- One copy goes to the customer, the other is filed somewhere, and is hard to find three years later.
- When you have to show what was issued and when, the list has to be reconstructed from the binders.
- Forms change, and the printed stack is last year's.
The readings from the visit feed the document.
The technician fills in the work order on site. The certificate takes those values, the installation's record and the approval number of the technician signing it. The customer gets it by email, a copy stays filed under the installation, and the list of what has been issued can be read without opening a single binder.
- Pre-filled from the installation's record and the day's readings
- Signed with the technician's approval number, stored once on their profile
- Sent to the customer by email, in their language
- Filed automatically under the customer, the site and the installation
- Exportable as a register, to answer a request without digging
What exists, and when
Instalvo is in development, and this is the part where we have to be sharpest: the regulatory documents differ from one region to the next. We start with Wallonia and do the rest afterwards, rather than covering three regions half well.
- The Walloon documents for gas and oil boilers, combustion side included
- Pre-filling from the installation and the readings from the visit
- Signature with the technician's approval number
- Sending to the customer and automatic filing under the installation
- Export of the register of what has been issued, by period
- The Flemish and Brussels documents, with their own templates and their own rules
- An automatic reminder when a periodic inspection falls due
- Direct submission to official portals, where that is possible
- Readings sent straight from a Testo analyser into the certificate
Common questions
Which documents are covered in the first release?
The Walloon documents for gas and oil boilers, combustion side included. Flanders and Brussels have their own forms, their own frequencies and their own approvals: they come afterwards. We would rather do one region properly than three half well.
Who can sign a certificate in Instalvo?
The technician who did the visit, with the approval number stored on their profile. Instalvo does not replace the approval: it stops the number being copied by hand and a digit being changed.
Is a certificate generated by software valid?
What matters for a document like this is the qualification of the person issuing it and the content the regulation requires, not the tool that prints it. Instalvo replaces neither; it carries across what was already entered so the document is complete and legible.
What if an official form changes?
That is work for us, not for you: the template is updated in the product. It is also one of the reasons we move region by region, because keeping up with three sets of forms means genuinely keeping up with them.
